Vagaro and Hayven do different jobs. Vagaro is one system for booking, calendar, POS and card payments, made for salons and spas in general. Hayven is made only for nail salons and runs beside the POS you already have. It takes check-in, walk-in turns, online booking, texts and, if you add it, calls nobody picks up.
The quick verdict: if you are replacing your POS and want everything in one place with a price on the website, Vagaro is the safer pick. If your POS is fine and the real problem is the front desk on a busy walk-in day, Hayven is built for that.
We make Hayven, so read our side with that in mind. Every fact about Vagaro on this page comes from Vagaro’s own pages, checked on the date in the table.

Where the table’s facts come from
Where Vagaro is the better pick
- Booking, calendar, POS hardware and payments in one system.
- A mature payments setup with card terminals and readers.
- A waitlist included with every plan.
- A published price and a 30-day free trial, so you can compare cost without a demo.
Where is Hayven the better pick for a nail salon?
Four places.
Walk-in turns. Vagaro includes a client waitlist on every plan. We found no walk-in turn list described. In Hayven, check-ins, walk-ins and online bookings land on one Turns board. Hayven suggests the right tech and shows why. Your desk checks it and taps Start. You set the turn rules once: services under a price you pick can count 0 turns, and you choose how requested clients count. More on the turn tracker.
Keeping your POS. Vagaro includes POS hardware and payments. That is a strength if you are replacing your POS, and extra weight if you are not. Hayven leaves payments alone. Your POS keeps your card terminal, your merchant rates and your hardware. When a visit is done, you tap Done and Hayven hands you a ticket with every service, tech and menu price, ready to paste into your POS. See keep your POS.
Calls nobody picks up. We found no AI phone answering on Vagaro’s pages. Its AI assistant, Vera, helps with marketing, open slots and client messages. Hayven has an optional AI phone assistant. Your phones still ring first. If nobody can answer, or you are closed, it takes the call in English, books on your Hayven calendar and texts the client the confirmation. Anything else lands in your Inbox.
Made only for nail salons. Vagaro serves salons and spas in general, and we found no nail-specific feature. Hayven was made for how a nail salon runs: walk-ins and bookings in one line, two techs on one client, and turn rules that match your salon. Setup and support come in English and Vietnamese. The app itself is in English.
How does a busy walk-in hour look in each one?
Take an example salon, My Nail Spa, at 2 p.m. on a Saturday. Three walk-ins come in while two booked clients arrive for 2:15.
| At the desk | Vagaro (from its pages) | Hayven |
|---|---|---|
| Walk-ins arrive | A client waitlist is listed; walk-in handling isn’t described | Check in on your own iPad or a printed QR poster |
| Who waits first | A waitlist | One waiting line, longest wait first, tagged “Appt 2:15” or “New” |
| Who gets the next client | Not described | Hayven suggests the next tech and shows why; the desk taps Start |
| Turn count | Not described | Counted by your own turn rules |
| Checkout | Vagaro POS and card terminal | Your own POS, from Hayven’s ticket |
If your salon is mostly appointments, the first rows matter less. If walk-ins are half your day, they matter most.
How do the prices compare?
Vagaro publishes its price. When we checked, the page showed $30 and a $23.99/mo intro rate for the first 6 months, plus $10 for each bookable calendar license (up to seven), with a 30-day free trial. If you process under $4,000 a month, tap or dip is 2.6% + 10¢ with no monthly fee; over $4,000 it is 2.29% + 19¢ plus $10/mo.
Hayven does not publish a price. We’ll walk you through pricing on your demo, with your own menu and team size. The AI phone assistant and our marketing service are optional add-ons. Because you keep your POS, your merchant rates stay the same.
If a price you can check tonight decides it for you, Vagaro wins this one.
Can I use Hayven and Vagaro together?
You can, but most salons shouldn’t. Both have a booking calendar, and two calendars mean double entry at the desk.
If you want to keep Vagaro only for payments, first ask Vagaro whether its POS works without its booking calendar, and what that costs. If it does, booking, check-in and turns can move to Hayven. Hayven does not connect to Vagaro. Your desk pastes Hayven’s ticket into your POS, the same way it works with any POS.
How do I switch from Vagaro, or add Hayven?
- Decide what stays. If you want to keep Vagaro for payments, ask Vagaro how that works without its booking. If you are leaving Vagaro, pick the POS you will use first.
- Book a demo with your real menu. We’ll walk through a salon day like yours and show the price for your team size.
- We set it up with you. Your techs, services and turn rules go in before day one.
- Ask how your clients and future bookings move over. Get the answer in writing before you pick a switch day.
- Put check-in at the door. Your own iPad, a printed QR poster, or the check-in text. No new hardware.
Whatever you choose, test it on your busiest day of the week, not your quietest.
