Most “best nail salon software” lists mix two different jobs. Some tools replace your POS. Others sit beside it. If you compare them as one group, you end up comparing a cash register to a booking page.
So we split the list by job, then ranked every tool on what a busy US nail salon cares about. That is walk-ins and turns, booking that lands on a real tech, calls nobody picks up, whether you must switch POS, and a price you can check.
We make Hayven, so read our own spot with that in mind. The ranking above assumes you already have a POS you can live with. If you are replacing your POS anyway, the order changes, and we say how below.
Do I need to replace my POS?
Usually not. Switching POS means new hardware, a new merchant account and retraining your whole team. For a lot of salons that cost is bigger than the problem they are trying to fix.
Ask yourself what is actually broken:
- Payments are fine, the front desk is a mess. Walk-ins fight with bookings, nobody knows whose turn it is, calls go unanswered. Keep the POS and fix the desk.
- The POS is old, expensive or failing. You are replacing it anyway, so pick a system that does booking and payments together.
- You have no POS yet. Start with one system. It is less to set up.
Hayven is built for the first case. Your POS keeps doing payments, your card terminal, your merchant rates and your hardware. Hayven takes booking, check-in, the calendar, the turn tracker and texts. When a visit is done, you tap Done and Hayven hands you a ticket with every service, tech and menu price to copy into your POS. More on that on our keep your POS page.
What does “replace your POS” software do well?
Vagaro, Square Appointments, Booksy and Tilavon all put booking and payments in the same system. That is their real strength, and it is a good one.
- One system to learn. Booking, calendar, POS and card payments live together.
- Payments are mature. Vagaro lists card terminals and readers. Square runs on Square POS and processing. Booksy lists card reader rates and Tap to Pay. Tilavon lists card payments through Helcim or Stripe Terminal.
- Prices you can look up. Vagaro and Booksy publish a price and a trial. Tilavon publishes plan prices. Square publishes a Free plan plus Plus and Premium prices, with a 30-day trial.
Only one of them was built for nail salons. Tilavon describes itself as made for US nail salons, with a walk-in turn queue, rotation rules, skip and manual assign. Vagaro, Square Appointments and Booksy serve beauty businesses in general, and we found no nail-specific feature on their pages.
What does “keep your POS” software do well?
This is where Hayven lives. It does the work around the register.
- Turns. Check-ins, walk-ins and online bookings land on one board. Hayven suggests the right tech and shows why. Your desk checks it and taps Start. Clients check in on your own iPad, a poster or a text link, so there is no new hardware. See the turn tracker.
- Online booking. Clients pick the service, the add-ons, the tech and the time. No account, no password. Every booking lands on a real tech’s column. See online booking.
- Texts and offers. A new client offer applies at check-in and is marked used when the visit is Done. See the first-visit offer.
- Missed calls. An optional AI phone assistant answers calls nobody picks up. Your phones ring first. More at AI phone assistant.
The trade is clear. You get a calmer front desk, and you give up one-stop payments. Hayven is not a POS, takes no payments, and does not hold deposits. Clients pay at your POS.
Why is the list ranked this way?
Here is how each tool did against our five criteria. The table above has the full facts from each company’s own pages.
| Criterion | Hayven | Tilavon | Booksy | Vagaro | Square Appointments |
|---|---|---|---|---|---|
| Walk-in turns | Turns board | Turn queue | Waitlist, no turns found | Waitlist, no turns described | Waitlist on Plus and up, no turns found |
| Online booking | Yes | Yes | Yes | Yes | Yes |
| Calls nobody picks up | AI add-on | AI add-on | AI in beta | Not found | Not found |
| No POS switch needed | Yes | No | No | No | No |
| Public price | No, on a demo | Yes | Yes | Yes | Yes |
Two things decided the order. Of these five, only Hayven and Tilavon have a turn system we could confirm, so they take the top two spots. Between them, the question is your POS. Hayven wins if you are keeping it. Tilavon wins on price you can check, and wins outright if you are replacing the POS and want a nail-specific system.
Booksy comes next because it lists an AI Receptionist in beta and a flat published price. Vagaro follows with a waitlist and a published price but no AI phone answering found. Square Appointments is last on this list because we found no turn rotation and no AI phone answering, and its waitlist starts on the paid Plus plan. For a solo pro who only needs free basic booking, its free plan is still worth a look.
Which pick fits my salon?
Solo tech. You probably do not need turns at all. If you want free basic booking and you already take payments through Square, Square Appointments is the simple choice. If you want a published price and a trial, look at Square’s paid plans, Vagaro or Booksy.
3 to 10 techs with lots of walk-ins. This is the salon where the desk gets crowded. Turns and booking need to talk to each other, and the front desk cannot afford a slow check-in. If your POS is fine, Hayven fits. If you are replacing it, Tilavon fits.
Multiple locations. Check what each tool lists for locations before you decide. Tilavon’s Elite plan covers up to 3 locations. Hayven links your salons for you, and each salon’s Bio Page lists every location with its hours. Ask every vendor about your own setup on a demo.
Who should pick something else?
Skip Hayven if any of these are true:
- You want one system that also takes card payments. Hayven is not a POS.
- A public price on the website is a must. Ours is shared on a demo.
- You need the app itself in Vietnamese. The app is in English, though our support and setup team speaks English and Vietnamese. Tilavon lists its POS, booking, dashboard and texts in Vietnamese.
- You want a marketplace to bring in new clients. Booksy has one, with a fee on a Boost client’s first visit.
Skip the replace-your-POS tools if you like your POS and your merchant rates. Switching hardware and retraining techs is a real cost.
What should I ask before I choose?
Whichever way you lean, ask each vendor the same short list:
- How does a walk-in get in line, and who decides whose turn it is?
- When a client books online, does it land on a specific tech?
- What happens to a call nobody answers?
- Do I have to change my POS, and what does that cost me?
- What will I pay, in writing, for my team size?
If the answers are vague, that tells you something. A good demo uses your own menu and your own techs.
