Every AI receptionist says it answers the phone and books appointments. At a nail salon that’s the easy part. The hard part is a caller who wants a gel manicure with one tech at 4 PM, and a front desk that can’t pick up because every hand is in a pedicure bowl.
We built one of these, so we are not neutral. We wrote the five criteria above before the list, and we ranked by them. Where another tool wins, we say so.
What should an AI receptionist do at a nail salon?
Five things. The first matters most.
- Book a real tech’s column. Clients ask for Helen or “anyone.” A tool that takes a message and promises a callback hasn’t booked anything.
- Know your menu, prices and rules. If it quotes last year’s price, you will argue with a client at the desk.
- Hand off when it can’t help. Gift cards, complaints and “can I talk to a person?” should reach your team, not end in a made-up answer.
- Speak the caller’s language. Some of your callers may be more at ease in Vietnamese, Spanish or another language.
- Work with what you already run. The best receptionist is useless if it books on a calendar your techs never look at.
Notice that the criteria pull against each other. The tool that sees your calendar best is usually tied to one booking system. The tool that works anywhere usually sees less.
Which AI receptionist is best for a salon that uses Hayven?
Hayven’s own AI phone assistant, and here is how it holds up on each criterion.
Real tech’s column. Your phones still ring first. If nobody can answer, or you’re closed, the assistant takes the call. It books on your Hayven calendar and texts the client the confirmation. It reads the booking back (service, add-ons, tech, day, date and time) and waits for a clear yes before it books, moves or cancels.
Menu, prices and rules. Answers come from what’s in your Hayven right now. Change a price or your hours, and the next caller hears the new one. If a price is a starting price, it says “from.” A booking by phone is an online booking, so every rule you set for your booking page holds on the phone too: your online services, your online techs, your timing rules.
Hand-off. It texts your booking link, leaves a message for your team, or both. A bridal party of five gets the link. Gift cards, refunds and complaints get a message for your team, and it promises nothing. It never takes card numbers. If it doesn’t know something, like parking, it says it isn’t sure and offers to leave a message.
What you see afterward. The summary and transcript land in your Inbox. A booking it made shows on your calendar with a headset icon, so you know where it came from.
Now the gaps, plainly:
- English only. If a caller speaks another language, it says it can only help in English and offers to text your booking link. The Hayven app is also in English. Our support and setup team speaks English and Vietnamese.
- An optional add-on. Our team turns it on for your salon. We don’t publish a price. We’ll walk you through pricing on your demo.
- Only calls nobody picks up. That’s by design. It is not a full-time phone answerer.
- It books on the Hayven calendar. If you don’t use Hayven, it can’t help you. It is for salons on Hayven.
- Hayven is not a POS. It takes no payments and no deposits. Clients pay at your POS. See why Hayven works with your POS.
That last list is why Hayven is first only for a narrow reader. If you run Hayven, nothing else on this list can see your Hayven calendar. If you don’t, skip to the next sections.
Is RingBooker a better pick for Vietnamese-speaking callers?
Yes. RingBooker’s own page says calls, summaries and setup come in English, Spanish, Korean, Chinese and Vietnamese. Hayven can’t match that today.
It’s also a phone-only tool: it books through a booking link, or through Square Appointments if you use it. It takes after-hours, overflow and in-service calls, handles simple reschedules and cancels, texts back missed calls and sends call summaries. Its prices are published: Starter is $79 a month for up to 100 captured calls, and Professional is $149 a month for up to 200.
Its weak spot is the first criterion. What we could confirm is that it captures booking requests and sends a booking link. We could not confirm that it books straight onto a named tech’s column. Ask for a demo call that does exactly that before you pay.
What about GlossGenius Reception?
GlossGenius is software for beauty pros with booking, payments, marketing and AI tools. Its Reception feature answers calls and texts around the clock, books into the calendar, collects deposits and passes calls that need you on with a full transcript. That’s a strong list.
Two cautions. It’s in early access. Its pricing page lists it at $50/mo, while its early-access page says it’s free for now and paid later, so check the price. And it’s GlossGenius’s own software, so you’d be moving your booking there. We also found no nail-specific feature and no walk-in turn list. On booking alone it would beat RingBooker. It ranks third because it only books inside GlossGenius’s own software and is still in early access, while RingBooker works next to what many salons already run. It’s a good fit for a beauty pro who wants one app. For a busy walk-in nail salon, it’s less proven.
Is Tilavon’s AI receptionist worth it for a nail salon?
Tilavon is a nail salon POS with booking, a walk-in turn queue, commissions and loyalty. The AI receptionist is a paid add-on: an AI voice assistant for your phone line, from $99 a month for 300 minutes.
Tilavon wins on being made for US nail salons. The POS, booking, owner dashboard, staff app, receipts and texts come in Vietnamese, English, Spanish and Chinese. What we couldn’t find is what its AI does on a call, such as whether it books on a tech’s column or how it hands off. So it ranks fourth: not because it’s weak, but because the evidence for our criteria is thin. And the add-on only makes sense if the POS is yours.
Is Frontdesk good enough for a nail salon?
Frontdesk is built for many kinds of businesses: phone, texting and website chat. It has a nail salon page, but the features are the same as for other businesses. It books through its own AI calendar, and no salon booking software is named.
That’s the catch for our first criterion. If its calendar isn’t the one your techs work from, someone has to carry each booking over by hand. What it does win on is cost to try: it’s free to start, with no credit card. If you only want to hear what an AI receptionist sounds like, it’s a cheap test. The plan prices weren’t shown on the page we checked.
Who should pick something else?
Pick another tool if:
- Your callers speak Vietnamese, Spanish, Korean or Chinese. Choose RingBooker. Hayven’s assistant speaks English only.
- You don’t use Hayven. Hayven’s assistant books only on the Hayven calendar. RingBooker is a phone-only tool that books through a booking link or Square Appointments.
- You want one app for booking, payments and reception. GlossGenius is worth a look once Reception leaves early access.
- You want a nail POS with turns. Tilavon is built for that.
- You want published prices before a call. RingBooker, Tilavon and GlossGenius publish theirs. Hayven doesn’t.
- You want the assistant to answer every call. Hayven’s rings your phones first and answers only what nobody picks up.
How do I test an AI receptionist before I pay?
Call it from your own phone. Do these four things:
- Ask for a specific service with a named tech, and check whether it lands on the right column.
- Ask for a price that changed this month.
- Ask for something it shouldn’t handle, like a refund or a group of five.
- Check where the call shows up afterward.
With Hayven, when our team turns the assistant on for your salon, we make a test call with you.
