How to stop missing calls at a nail salon while your techs are working
Why calls go unanswered at the station, five ways to fix it compared honestly, and what to check before you pick an AI to answer the phone.
New: an AI phone assistant that picks up when your team can’t · and books on your calendar.

Your phones still ring first. If nobody can answer, or you’re closed, Hayven’s AI phone assistant takes the call in English. It books on your Hayven calendar and texts the client the confirmation. Anything else lands in your Inbox.
The phone at a busy salon
A caller who gets voicemail may just call the next salon. Hayven already rings up to three of your phones and texts the callers you miss. Now an AI assistant can take the call itself.
Every hand is in a pedicure bowl.
The desk is checking in a line of walk-ins.
You’re closed, and someone wants to book tomorrow.
Up to three of your phones ring at once for 20 seconds (or 15, or 30, you pick). The first person to press 1 gets the call. The AI only answers when nobody does.
How it works
Up to three phones ring at once. Anyone who’s free presses 1 and talks, like today.
After the ring time, the AI answers. After hours it can answer right away.
Hi, this is Ava, the virtual assistant at My Nail Spa.
That’s its first sentence, every call.
It reads everything back and waits for a clear yes before it books, moves or cancels.
The confirmation goes to the client. The summary and transcript land in your Inbox, and the visit shows on your calendar.
If the assistant can’t be reached, callers get your usual greeting, missed-call text and voicemail.
Hi! Sorry we missed your call at My Nail Spa. … booking.hayven.ai/

The numbers come from check-in. If check-in is off, it gives no time. It never guesses. The caller also gets your usual missed-call text.
Every call ends the same way: the client knows what happens next, and so do you.
Compare
Lots of AI receptionists can answer and book. What matters is what they can see in your salon. Hayven’s assistant works inside the Hayven that runs your day, so here are its answers.
| Ask this | Why it matters | Hayven’s answer |
|---|---|---|
| Whose open times does it see? | Clients book a tech, and every tech’s day is different. | Each tech’s open times on your Hayven calendar, for the service the caller wants. |
| Does it book, or take a message? | A message means someone still has to call back. | It books in the call, after reading the details back and hearing a clear yes. The client gets your confirmation text. |
| Can it move or cancel her visit? | Lots of calls are about an appointment she already has. | Yes, her own visit, inside your cancel and reschedule window, once the carrier confirms her number. If a late fee would apply, it leaves that to your team. |
| Does it know who’s calling? | A regular expects you to know her next appointment. | It sees her upcoming appointments when the carrier confirms her number. |
| Does it follow your booking rules? | How soon, how far ahead, and which techs take online clients. | The same rules as your Hayven online booking. Nothing looser. |
| Can it answer “How long is the wait?” | Walk-ins call to ask before they drive over. | Yes, if you use check-in: how many walk-ins are waiting, and today’s average wait. It never guesses. |
| Where do you see what it did? | One more inbox is one more thing to check. | In the client’s Inbox thread, on your calendar with a headset, and in your call results and Hayven’s impact report. |
| Does your team still answer first? | Many clients would rather talk to your team. | Yes. Your phones ring first. It answers only when nobody picks up, or when you’re closed. |
Many AI receptionists do some of these too. Put the same questions to any of them before you choose. On your demo call, our team makes a test call with you so you can hear ours.
It knows your salon
Every answer comes from what’s in your Hayven right now. Change a price or your hours, and the next caller hears the new one.
Services, add-ons and prices. If a price is a starting price, or your techs charge differently, it says “from.”
The techs who take online bookings, or “any available tech.”
Real open times on your calendar. It offers up to three.
The next seven days, with your holidays.
How many walk-ins are waiting and today’s average wait, from check-in. If check-in is off, it doesn’t give a time.
Her upcoming appointments, when her phone carrier confirms the number is really hers.
Asked about parking? It says it isn’t sure and offers to leave a message for your team.
Same rules as online booking
A booking by phone is an online booking, so it books when your Hayven online booking is on. Every rule you set for your booking page holds on the phone too.
Service, add-ons, tech, day, date and time. For a new client it spells the last name. Then it waits for a yes.
Your online services and online techs. Nothing else.
How soon and how far ahead people can book, and how many bookings one phone can hold.
One service, with its add-ons. For more services or more people, it texts your booking link.
If you use no-show protection, it texts the booking link so the client saves a card there. It never takes card numbers.
It moves or cancels only inside the windows you set. If a change or cancel would cost your late fee, it leaves the decision to you.
It talks about an appointment only with the person it’s for, and only when the carrier confirms the number.
When it can’t, it says why:
What lands in your app
No double texts: when it already booked, moved, cancelled or texted the link, the missed-call text isn’t sent.
When it hands off
It knows what it shouldn’t do by phone. It texts your booking link, leaves a message for your team, or both.
Texts your booking link (it handles groups) and leaves a message for your team.
Leaves a message and tells the caller your team will text back.
Leaves a message for your team. It promises nothing.
“I can’t take card details over the phone.” It never repeats the number.
It says it can only help in English and offers to text your booking link.
Assistant can’t connect, or this month’s minutes are used up? Callers get your usual greeting, missed-call text and voicemail.
You’re in control
Our team turns it on for your salon and sets your monthly minutes. Then you choose when it answers.
15, 20 or 30 seconds. With “Your team, then the AI” picked, your team always gets the first chance while you’re open.
How many calls, minutes and bookings this month. When the minutes are used up, callers hear your greeting until the 1st.

Honest by design
“Hi, this is Ava, the virtual assistant at My Nail Spa. Our team is with clients right now. This call is recorded. How can I help?”
In its first sentence. Asked “Are you a robot?”, it says yes.
Hayven keeps a written transcript, a short summary and the recording. Recordings are deleted after 90 days.
It speaks English. Callers in another language are offered your booking link by text.
Cards are saved on your booking page, never by phone.
It never shares another client’s details, or reads out phone numbers.
Short answers, one question at a time. A call ends after 6 minutes at most.
No. Your phones ring first, and anyone who’s free answers like today. The assistant only takes the calls nobody picks up, or calls after hours.
Many AI receptionists can answer and book. Ours works inside your Hayven, so it sees each tech’s open times and your online booking rules, the caller’s own visits once the carrier confirms her number, and your walk-in line if you use check-in. What it does shows up in your Inbox and on your calendar. And your team still gets the first ring.
Ask us on your demo call. Our team turns it on for your salon, sets your monthly minutes and makes a test call with you.
No, it speaks English. If a caller speaks another language, it says it can only help in English and offers to text your booking link.
Yes. Its first sentence says it’s the salon’s virtual assistant, and its greeting says the call is recorded.
No. It books one appointment per call, for the caller. For a group, it texts your booking link and leaves a message for your team.
It reads every booking back and books only after a clear yes. Each booking shows on your calendar with a headset, and the full transcript is in your Inbox. You can change it like any online booking.
Never. If you use no-show protection, it texts your booking link so the client saves a card there.
It tells every caller the call is recorded. Hayven keeps a written transcript and a short summary in your Inbox, and you can play the recording there. Recordings are deleted after 90 days.
Calls nobody picks up, and calls after hours. Hidden numbers, numbers outside the U.S. and Canada, and numbers that fail the carrier’s check get your usual greeting and voicemail.
Callers get today’s flow: your greeting, your missed-call text and voicemail.
